The one cron job every agency should have running
A nightly check that catches everything you forgot to follow up on. Fifteen minutes to build, saves hours every week.

The single highest-leverage automation we run at Insert Fuel takes fifteen minutes to build. It is a nightly cron that summarizes every brand into one digest.
It catches things a human team will always miss.
What the digest contains
Every night at midnight Central, we run a single query that produces one row per brand with these columns:
- Days since last brand-channel message. If a brand has not heard from us in 5 days, that brand is at risk.
- Open tasks past due. Anything older than its due date.
- Hours utilization. If a Premium Fuel brand (40 hrs/mo) is at 30 hours by the 20th, we are about to blow the budget.
- Project step status. Which step the brand is currently on, and whether it has been the same step for over two weeks.
The digest goes to one Slack channel that only operators see. Five minutes to scan in the morning. Every red flag is in one place.
Why this beats fancier reporting
Most agencies have dashboards. Dashboards require you to remember to look at them. The cron forces the data into your inbox. The difference between "I have a dashboard" and "I get one email every morning" is the difference between knowing what is happening and finding out about it the day before the client churns.
How to build it
If you are on GoHighLevel + a real database (in our case Supabase, but Postgres anywhere works), the whole thing is:
- A SQL query that joins brands, channels, messages, tasks, projects.
- A scheduled function (Vercel cron, Supabase cron, GitHub Actions, whatever) that runs the query and posts the result.
- A Slack webhook or an email send.
That is the whole thing. The hard part is the query, and the query is a one-time investment that pays off every single morning for the life of the agency.
